Having all client info in one spot that anyone within our office can access has helped tremendously with taking care of of our clients timely.

Pros

The amount of data it holdsand keeping client information in one place from the clients schedule to their financial accounts, pictures, correspondents and more.

Cons

Learning to use the multiple functions and how they tie into each other can be a bit tedious.

The customer service is terrible. We have had many problems and glitched with Service Autopilot that have cost us tens of thousands of dollars. Service Autopilot refuses to fix its software, has no plan to fix it, and will leave us hanging for months with no answers.

Pros

It works well for routing and dispatch.

Cons

Payment processing, Client portal, accounting, the customer service department and IT department are horrible, no option for adding credit card processing to invoices, poor options for charging sales tax, etc...

Frustrating. Kept giving them more breaks and they kept apologizing for all the errors - saying they were hiring more product, engineers and QA folks. Never happened. Site is a disaster.

Pros

Automations were the attraction. They also have a very nice and easy to use dispatch board.

Cons

Over the past year they have gone through three acqusitions and each time they have bumped the price, removed features and attempted to launch a new version of the platform. Well, 18 months into it, the new version still isn't up and the old version is neglected. Every update they make comes filled with bugs and removing really important features. Then an email from the [SENSITIVE CONTENT HIDDEN] to all their users a few weeks later saying they had 'no idea' so many people used X feature. These folks shouldn't be in charge of anything related to tech.
Want to run google ads conversion? Can't do it.
Want to port your Twilio number in? Can't do it.
Want to sync with your email? Can't do it.
Want to integrate with ANY platform out there? Can't do it (no API)
Want to train office staff in two weeks and have them up and running? Can't do it using this software.
Want reliable CC processing and captures? Can't do it. You'll spend days reconciling their approved vs captured and if you don't you wont notice until you balance your books.
Want customers to have a portal they can log into and submit requests? Can't do it.

List goes on. These folks are light years behind and everything they release is full of bugs and then they want you to use work-arounds. In the end, you spend more time managing the platform than if you just used a bird feather and some paper.

Quite a Learning Curve, but an All-in-one Solution?

Service Autopilot (SA) is the hub of the entire business as it contains all lead, client, and...

Service Autopilot (SA) is the hub of the entire business as it contains all lead, client, and employee information.  All the business’ services are scheduled and dispatched through Service Autopilot.  The technicians use the SA app to receive their jobs notes and punch in and out of their jobs.  Cleaning estimates and invoices are distributed through SA.  We use the reporting feature to pay Sales Tax and keep our eye on Key Performance Indicators.  SA is our Customer Relationship Management tool used for email marketing and chat messaging.  We also use automations in Service Autopilot to send reminders before cleanings, after-job quality surveys, and client onboarding emails.

Pros

Service Autopilot is the hub of the entire business as it contains all lead, client, and employee information.  The automations are a huge step up for productivity and ease of systems.

Cons

Service Autopilot is not easy to use or set up. It is less intimidating if you are the kind of person that likes to jump into a new software and just poke around. There are so many aspects that even once you know the basics, there is always something to tweak in the workflow. Unfortunately, after SA was purchased by Clearent (a credit card merchant) a couple of years ago, the customer service and general functioning has gone downhill. There are often slow days (everything slow to load) while working in the software that make it unusable for a period of time. They also have a closed API and so don't integrate with other programs. There is a version 3 in the works for a couple of years now (always beta, not complete), but it seems less intuitive and worse laid out than version 2.

Customer service used to be good, they answered the phone! Now they want on line chat and don't answer the phone; you have to leave a message. A few times, my call wasn't returned. Or, they call back after hours even if you let them know you are in a different time zone.
They say they will look into issues (bugs) but I never see anything change.
I don't like being told to watch a video to learn how to do something.
I'm getting very discouraged and am thinking about moving to another software

Pros

We keep track of up to 1,000 clients a year. I like the dispatch board for keeping track of clients.

Cons

- Dispatch board was recently cut to a 90 search feature, we need at least a year to help keep track of all our jobs
- SLOW response time! The system has slowed to a crawl; very frustrating
- Reporting is difficult to use
- Templates are limited
- Font sizes do not match the number chosen (14 pt is not a 14 pt or a font size is not even available)
- Tickets were added, don't know what they are but they get created when we didn't want one
- History list on client page was changed and is now way too long
- Have to go to another tab to find out if an email was received, it used to be on the client page
I could to on and on about all the features they have changed over the years that have actually made it more cumbersome to use. I have thought about leaving for some time, not sure how it would be to get all my information to another vendor

Superb. We have looked at other software alternatives and nothing can touch SA in terms of comprehensive capabilities, flexibility and automations. The price is outstanding for all of the funcionality.

Pros

We completely run the business using Service Autopilot. Without it I would have to hire at least two more office staff and shudder at the thought of all the mistakes that we would potentially make since SA does a lot of our work automatically.

Cons

I really wish I could build custom reports easily.

False promises sums up SA. They a company break almost once a day week and always seems to be when you need to call them. And every time you do call them they are condescending like nothing could ever be wrong or incorrect about SA.

Pros

Hard to find what I like about it now. Every feature I liked in 2014 is either not completed or half way working

Cons

Without writing a book. SA is full of broken features that never get finished and they move on to the next shiny buzzword like 'Automation'. Reports have to be the 2nd worst of the software, my excel is better. #1 is invoicing. If a customer pays a partial amount to an invoice I can't apply that amount only a full amount. So when the customer applies the remainder. I create another invoice for that amount, and applied the previous amount to the original invoice that I lowered to show it was paid. etc etc

Too many issues

We were very excited to get started with a package that is seemed like it would be a powerful tool to reduce our office work. It has reduced our office work but I am not sure that it has done so more than another service would have.

SA required us to modify the way we interact with our clients because of errors in the SA database. Every communication we send from SA has to be tested 2-3 times. For example we sent an email last year using merge fields. It was a supposed to look like a super personalized email from the owner to each client. We tested everything multiple times using test accounts. When we sent the email out in bulk it showed up as "Dear [fname]" There were about 15 merge fields in this email that failed. SA support created a ticket that we are still waiting to hear back about more than 18 months later.

That is just one example of the daily frustration with SA. Now we feel like we are stuck because we have invested so much into the program and modified the way we bill our services to work around the SA problems. We do not want to expose our clients to more change but something has to be done differently.

Pros

There are lots of intended features. The vision for the software includes the ability to do many powerful things. Automations is a great way to reduce the burden on office staff.

Cons

There are too many problems. We have reported literally hundreds of issues that are still not resolved. The customer service staff make a ticket but nothing ever gets fixed. On a daily basis we have dozens of things we have to check because SA does not consistently record information correctly or consistently records it incorrectly.

There does not seem to be a quality control team at SA. Recently they attempted to have very hyped up live broadcast about some new features being released and even that failed to work correctly. I just found it humorous that SA consistently fails at ensuring a quality experience for their users and this proved my point.

BEWARE!!!!!! I own a lawn and tree fertilizing company. I have used this software for the past 3 years. We were extremely pleased with Service Auto Pilot for the first 2 years. It worked great and helped us tremendously with getting the business organized and up & running. Unfortunately over the past year I feel the software has done the complete opposite. With the constant updates there is some serious issues with the code the system is running. My balances on the invoices are off (which I have contacted them about several times over the past 5 months and they agree and confirm there is an issue) and even worse the jobs that are supposed to pop up for service are not. I have customers calling asking where we have been. There were always some small problems before with routing and just general things you need would be compromised. I once thought overall the site was a solid 4-4.5 stars out of 5 and a fair price. At this time however I DO NOT recommend this software! Check back once they get all the bugs worked out. The good thing is they made it easy to export your clients and leave.
UPDATE September 21 2016. None of the issues I have been experiencing have been resolved and even more issues are popping up. Soon as season is over I will be leaving this company
UPDATE 10/24/2016 I was told my issues were looked at by the development team and that they were some deep routed issues that would take a long time to fix. However the company has stopped updating me of the progress and it seems they have left my account for dead. There are even more issues popping up and it has become almost impossible to work with this software. I think what happens is after using the program for multiple years there is too much code interacting with itself and jumbles things all up. You may be wondering why I am still using it. That's because my business is seasonal and I was just hoping to get through the year before I went through all the work of inputting my customers into another service software program.

Pros

I loved its ease of use and how easy it was to teach my workers how to use it. It also has tons of extras that really come in handy when it comes to managing all aspects of business

Cons

I hate that it imploded on itself after using it for multiple years.

Amazing Software

Started using this software 5 years ago when I created this new landscape, lawn maintenance and irrigation business. Wanted to have a solid foundation for scaling up and this was the perfect solution. Before this I used four other software programs and nothing even compares to the ease of use and multitude of features Service Autopilot offers.

One great example is our irrigation winterizing and spring turn on list. We have about 300 clients and it only takes an hour or so to sort them and schedule them for the appropriate day. We never miss a client because we have them set up in a "package" that automatically generates the routing and jobs are broken out by neighborhood. As soon as the irrigation technician completes the job on their mobile, it generates an invoice and we have it sent out via email at the end of the day. Sometimes our clients get their invoices before they come home and realize the service has been completed. Just the time savings alone on this project is worth the Service Autopilot cost. Before it would take 15 hours or so to organize the jobs and multiple hours just to enter and send out the invoices.

Also, the techs can take pictures and leave notes for the office for repair follow ups that are attached to the job.

Pros

Absolutely wonderful for repeat maintenance jobs and one time jobs. We never miss any billing because the employees only go to places on their mobile schedules.

Cons

It is a little cumbersome on large multi-day landscape projects. They do have a "Projects" option for these types of jobs. I even printed out the instructions on how to use it but it's not as easy and intuitive as the rest of the software.

Overall good software but hard to implement and going downhill

Pros

This software has more features than any platform like it. It can do everything from basic scheduled to automation that others have to buy as a separate project.

Cons

The company was bought by a credit card processing company and has started to go downhill pretty fast as it becomes clear they bought the company to have captive clients for their credit card system not to run a good software company which is a shame as it used to be a great company.

Our overall experience with Service Autopilot has been nothing less than stellar. The people are amazing and truly care about our success. I cannot recommend it highly enough!

Pros

This software routes our crews, manages our clients, makes our estimating process faster, and overall has allowed us to grow as a company. We would not have been able to be where we are now without it.

Cons

The hardest thing about the software is the learning curve. There are so many features that it takes awhile to have it fully implemented but Service Autopilot has training sessions that we utilized to make that process easier.

Cons

They have been struggling to implement new developments and lack the ability for any complex estimating. We out grew Service Autopilot and now primarily use a different option.

Pros

This software seamlessly allows us to bid a job, win the bid, schedule the work, dispatch the work, perform the work, and bill the work.

Front to back workflow is awesome.

Cons

Somewhat of a steep learning curve. Service Autopilot is so expansive and can do so much that it can be overwhelming for a new user. There are lots of steps required to accurately execute office tasks.

Before using SAP it seemed like it took hours on end to schedule and invoice my clients, then I was always forgetting about jobs that needed to be completed. After really learning how to use SAP and entering all the relevant information, SAP does 99% of the work for me! All I need to do is click a few buttons & SAP handles the rest. SAP has allowed me to devote more time into growing my business instead of doing the time consuming paperwork that used to take me forever. And I never miss any work or invoices.
I HIGHLY recommend SAP for anyone in a service related business, it really does "Pay For Itself" in the amount of time it saves you every month!

Pros

Never have to worry about forgetting to schedule or invoice clients! Tracks anything from scheduling to "Job Costs."

Cons

Takes a little time to learn the system and enter in all your existing clients information correctly. But once you do this IMPORTANT step, its all gravy!

Service Autopilot is a Godsend

Pros

Saves me 60 hours per month. No longer have to rely on spread sheets that take forever to update daily and weekly. Made it possible for us to expand; have hired two new employees serving 40 yards per day on average (60+ on Friday). Service Autopilot also provides extensive advice and coaching on how to expand our business. It is not cheap, but you get solid value for the money. We use credit cards to bill everyone and with SA we can bill everyone with one click, and since we have cash coming in daily, there are no issues with cash flow. We do the work, we get paid the same day or week.

Cons

Their computerized routing software is poor at best. For us, we do more than 20 stops per day in two crews, the SA routing software is a fail. Luckily, I had already learned how to route by using Road Warrior.

Pros

During the winter a snow plow operator was accused of hitting a car in a parking lot. Since Service Autopilot has a time tracking feature when on the job, we where able to prove the time we where on the property and exposed that the manager was trying to pin the hit and run on us! Since they have cameras on the property and we demanded they show us and the car owner the time frame footage from when we where actually on the property. Bottom line they hired us just to pin the hit and run on us but since we had the power of Service Autopilot their plot to pin it on us failed.

Cons

Not really anything I can point out. It has the occasional glitch, but what powerful app/software doesn't.

I recommend Service Autopilot.

Pros

1. Excellent Customer Service - almost always answer the phone live when we call.
2. CRM with To Do, Call, Touchpoint, Email tracking is huge because we manage 100's of calls per day and have over 30 users.
3. SA has the most advanced scheduling. This is critical because we perform over 800 services per day.
4. Mobile & Accessible from anywhere - part of our company works from the office, part from their homes and about 30 in the field.
5. We use QuickBooks Enterprise so the full automatic sync is very important. We couldn't find anyone else that does this.
6. We charge 1000's of credit cards per week. It use to take one person 3 days to charge credit cards in QB. Now we do it in less than 1 hour.
7. We do not know exactly how much we have saved financially but we are certain it is in the 100's of 1000's. But more than that we could not have grown to this size with out SA. It would have been too hard to manage this many calls, jobs and clients .

Cons

1. Need more reports. Reports are good but we need a custom report generator. We've been told it is coming next year.
2. Need chemical tracking. We've heard it's coming at the end of this year (2012).
3. We need the system to integrate with our phone system.
4. We were one of the very first users so we had some issues in the very beginning. They fixed all of them. But because we were one of the first several years ago we probably spent more time getting started than most companies do.

Pros

With enough time and learning you can do most things you would like on this program. Customer service is polite.

Cons

Buggy, client portal doesn't work with clients about 10% the time, overly complicated set up. I have used other programs like this and you are up and running in a few days.

This is a great system for 2008 when it we released, but old and very clunky now. Not easy to use at all, but has most features you could want if you spend a few weeks learning it and go to the class on it. Customer Support is always kind but can't help you with linked programs; so, you may call 3 different companies to fix one problem. Value for the money... not worth it. Only use this program is they fix the glitches and you want to hire someone full time to do just this program. Just don't waste your money and time otherwise.

The scheduling is great and it has multiple uses for automations.

Cons

Speed at times but overall good it’s pretty consistent.
