Overall A Good Payroll Software for Small Businesses

Reviewed on 16/11/2022

Pros

Very easy to use for both the employer and employees. You can add different admin users along with changing access, if some admins don't need access to everything. It is very user friendly and walks you through step by step on each and every part of the payroll process. This is the first software I ever used when starting in the payroll department, and had 0% training on it. I was able to navigate my way through it with no help.

Cons

The direct deposit limit is what made me change payroll software. I could not pay all of my employees via direct deposit because of the limit they had on our account.

There are better payroll products out there even if your CPA insists on using Quickbooks

Reviewed on 7/7/2022

Pros

I like that it integrates into Quickbooks which the CPA insists we use for accounting.

Cons

3 times out of no where direct deposit would stop working, I could not process payroll except by check, and I would have to call Intuit and spend 1+ hours with some clueless tech support agent that couldn't use their own tools (Salesforce / force.com ) to upload a copy of my ID so a team that can't be contacted could verify my account, only to have to repeat this every 6 months.

I got stuck having to fly home from vacation to manually runs checks once. Got hit with penalties for payroll tax not filled on time.

I escalated my issue multiple times no once could give me answers (I suspect it was related to a name change that happened from when I bought it 5 years ago to when I got married) and eventually I switched to Rippling which does way more, and has excellent support.

QB's Payroll Makes Life Simple!

Reviewed on 19/3/2023

All in all, QB's Payroll has made my life easier because it is so easy to use and with the automation feature it provides more time for other tasks since I spend less time doing payroll or making tax payments.

Pros

I've been using it for years because it's easy to use and quick to sign up and get started.

Cons

One down side to QB's Payroll Online is that you can't void or edit any employee checks without contacting customer support to have them do it for you.

Quickbooks Payroll

Reviewed on 14/11/2022

The ease-of-use, as far as processing payroll AND commissions due, was really great - it's user friendly,m easy to navigate, transparent.

Pros

I liked the interface when running payroll - the way the program is setup when you are running payroll (and commissions), it allows you to pick and choose what is being paid. For example, if you pay Health Insurance stipend only once/month, you have the option to just "check the box" to add that to your paychecks that week.

Cons

The way it was integrated into our main Quickbooks software, I was unable to use this on my MAC - I am only a MAC user and had to get a PC to use our main QB software, which included the payroll features as well. Not many other complaints though!

Amazing and Efficient

Reviewed on 11/1/2023

Compared to doing this process manually, QuickBooks payroll is amazing and easy to use. It requires very little staff time as well.

Pros

I like that you can essentially automate everything from payroll runs to filings and payments. Once the client and employees are setup within Payroll, the only work I have to do is review everything every month and save copies of returns to provide to my clients.

Cons

The setup process can be a little confusing/ time consuming at first. However, once you go through 1-2 iterations, it is a pretty straightforward process.

Payroll Service for Small Offices

Reviewed on 12/11/2019

I have not had any problems with quickbooks payroll at all. I would recommend this service to other businesses. I also found them to be cheaper that the other payroll companies out in the market.

Pros

This software is very easy to use. Has all of the options we need for tracking deductions, types of pay, vacation accruals, 401K, flexplan deductions, etc. Online check stubs for the employees. They can just log on and get a copy of their paycheck. They automatically receive an email when the check is ready to review. Easy data entry. Quickbooks takes care of all of the Federal and state filing forms and payments. If you use Quickbooks for your business you can set it up to automatically transfer the payroll to your general ledger. Saves time and prevents errors.

Cons

If you don't start out using this software with your quickbooks when you first implement - you are not able to keep your payroll history. If you need to convert from one software to another - I would recommend doing it at the time of your physical year.

The best payroll software I'm aware of

Reviewed on 31/12/2019

I use Quickbooks Payroll for multiple organizations to process all aspects of payroll. I have used it for employees in four different states. I've already mentioned how useful it is in automatically calculating and tracking everything. I also use it to prepare monthly, quarterly, and annual reports for government tax agencies. I especially appreciate the ability to e-file several tax reports and e-pay some taxes as well. Each year I prepare and file employees' w-2s using Quickbooks Payroll, which makes the process fairly simple.

Pros

My favorite thing about Quickbooks payroll also happens to be the most important thing about it...it is accurate! The payroll tax rates and rules are always updated to maintain accuracy in a changing landscape. When processing payroll, everything is automatically calculated and tracked for accuracy - including annual salary, vacation and/or sick pay, holiday pay, withholding tax, and unemployment tax. I don't have to worry about manually calculating things, knowing when there are tax changes, or potentially making mistakes.

Cons

I most dislike how expensive Quickbooks Payroll is. I only use the Enhanced Payroll subscription that integrates with existing Quickbooks desktop software or Quickbooks online subscription. That means I do all of actual work in processing payroll and payroll taxes, rather than using a more full-service option. I think the (ever increasing) several hundred dollars per year it costs to have the subscription is unreasonable. (In addition there's a separate fee for each direct deposit check.) However, the truth is, I rely so much on the functions of Quickbooks payroll that I continue utilizing it despite the cost complaints. I haven't come across anything better so I feel I have no choice.

Do NOT get this service

Reviewed on 1/5/2021

For the major problems described above, I would not recommend this product to any small business. There are many very good payroll services that are more user friendly, customer orientated and WILLING TO HELP.
These guys are the fat cat who could care less about you, your needs, your business. They act like they are doing you a favor for the chance of doing business with them. Good example - we had a problem on the last day of filing and? They closed their customer service. No help. Period. If you have to file late and get fined, too bad. They also screwed up the direct deposits. This is a unreliable service.

Pros

Basic payroll features all present to list employees info, etc. No problem there. Best feature is that it was embedded into our online Quick Books.

Cons

the WORST feature of this service which makes it a FAILURE for small business is the inflexibility and rigidity of deadlines. For example the last month of a QTR ends and next day you want to enter data, or even make a small change, for the previous week, or month or quarter - TOO BAD - you can not. Period. No compromise. No hope. Be clear this is ARBITRARY. But they could care less. The Federal filing deadline is 30 days after the end of Qtr. If there is a fixed deadline afterwhich you can not makes changes it should be that. But for some ego power trip reason (meaning no REAL reason) they make it the next day. If you don't keep up to that arbitrary schedule then FU. There is no customer service to help. You have to submit changes in writing and wait 2 weeks. Yes you are paying PREMIUM rate for this service but they don't care. Its like they are deliberately trying to screw you. Same with end of year. Most small business use month of Jan to get their books together. Sorry. By Jan 1 you must have all your payroll done. There is no possibility to enter any data after Dec 31....again....even tho the REAL deadline (Feds) in Jan 31. The small convenience of seeing this inside your online Quick Books is not worth the problems.

Service and support have taken a huge turn for the worse

Reviewed on 20/4/2016

Pros

Initially, before they took data away from the end user, I liked everything.

Cons

The customer service has become deplorable as of this writing. Never used to be that way. I have been without my payroll data since 1/16, and after 16 separate phone calls, each running through the same steps over and over, the same results. Nothing. Keep being informed that the "engineering team" is on it, but still no resolutions. They promise to call you back later that day, no call. So, I call back the next morning, and have to go through the entire scenario yet again. At this point in time, I'm researching other payroll companies. Intuit keeps sending me emails reminding me about payroll being due, tax forms being due... and I can't access any of the information to file it. Today, 4/19/16, I was told that there was a big software problem, that I wasn't the only one experiencing it... but, it literally took them 16 separate phone calls from me, no return phone calls from them AT ALL, and me finally getting angry and raising cain before they divulged that information. Not at all happy with Intuit right now. Several years ago, they surveyed users as to how to best run payroll. I was very VERY happy with having the data remain with me, backed up with them, and me filing electronically with the information in my computer. They decided to have everything "secured" in their hands. I stated my concern that the potential arrises to having our information trapped if they have any software or hardware issues... "Oh, no sir!! That would never happen!!" .... and now, I have zero access to my accounts and information. And the only response I got today after raising hell, is, "You have to wait and be patient, sir." ... I would have to say be cautious when deciding to use Intuit right now.

QuickBooks Payroll a good choice for all but the smallest of small businesses

Reviewed on 27/4/2022

A reliable and accurate service providing pretty much everything the small business needs to generate a payroll and to remit taxes and tax filings in a timely basis. Good customer service. When new state taxes were introduced, it was sometimes difficult to get the calculation of taxes due correct and, in my case, QuickBooks was never able to successfully remit the Washington Family & Medical Leave tax.

Pros

A comprehensive online payroll service likely to meet the needs of most small businesses with good integration to other products and services sold by QuickBooks. Easy setup, good customer service. I liked being able to schedule so that payroll taxes were deducted from my corporate account close to the date the remittance was due to the taxing authority. Some payroll services deduct taxes from the bank account just after payroll is run, then hold it (presumably making interest on those funds) until the taxes are actually due. QuickBooks doesn't appear to do that.

Cons

A few too many steps are required to run a payroll with a few informational messages being displayed that I usually disregard (of the "are you sure you want to do that?" kind). Also, QuickBooks was never able to successfully report and remit certain of Washington's state taxes. QuickBooks' calculation of these taxes never quite matched the calculation made by the state taxing authority and correcting QuickBooks' record of what I actually paid was a bit complicated. Also, the price for this service is not competitive, compared to other services, for very small businesses.

Affordable, full service payroll

Reviewed on 1/3/2019

As an Intuit ProAdvisor, full service payroll is an added value to the reselling of a discounted QuickBooks Online account. As an additional service to my retainer clients, I can process their payroll on any interval they choose, and I can handle any type of compensation arrangement they have with their employees. The best part is, it only takes a few minutes and I can do it all effortlessly through the mobile app. And since the ability to pay independent contractors via direct deposit was introduced, my Bookkeeping clients love the fact that they no longer have to worry about writing out checks to their contractors. Filing Forms W-2 (for employees) and Forms 1099-MISC (for independent contractors) is a breeze at the end of the year and paying all their quarterly payroll taxes takes only a few minutes every three months.

Pros

Cost is much less expensive than any payroll services company. Direct deposit payments, employee portals, Form W-2 and Form 1099-MISC filing, quarterly tax filing, electronic tax payments, direct deposit payments for independent contractors, powerful and customizable financial reporting, easy collection of Form W-9 information, reliable mobile app for process payroll from anywhere, support for multiple pay rates, benefits and withholding support, and more.

Cons

QuickBooks Payroll is available for both QuickBooks Desktop and QuickBooks Online accounts. With QuickBooks Online, you are dependent on the availability of an Internet connection at the time you wish to process payroll.

experience with payroll is really cool, the software actually calculate the holdings and make life easy for me, definitely a robo accountant that i don't have to pay a salary to.
Over all experience : just love it and wish i had it from the beginning of my business. For new users, make use of support. Don't hesitate to call , ask questions , ask again if you have to they will walk you through it. Like i say be dumb and learn it . take the time to do so because the end result is amazing . knowing your finances is straight can save your life. aka....sleep well .

Pros

it keep track of your income and expenses by simply attaching your bank account.
almost does your tax return. lol
save a lot of time doing your data entry thus cost effective, no need for a special person to enter all your receipts etc
keep correct info on all money related transaction and balance your check book , can keep your spending and saving on check. I can make adjustments by just looking at my balance sheet. almost cool for idiots to use. :)
perfect

Cons

if i made a mistake and had to go hunting for the problem, but i can just call up support and let them know ( how stupid i was ) and they just fix it. so not really a con.
for invoicing however , can take a little polishing up especially if i am doing an estimate and need to send it out, i must be extra cautious.

QB Payroll Review

Reviewed on 8/4/2020

Our company started with Quickbooks Payroll 5 years ago with 2 employees and we are still using them today with 25 employees. It is simple enough to use for a start up company, but has the features that are needed to comply with required regulations as the company grows.

Pros

I like that if I have made a mistake in payroll, I can call QB and it can be "fixed" before the money ever hits our employees' accounts. I also like having the ease of all the payroll summary reports when completing bank and legal documents that ask for payroll information, or creating budgets for the company.

Cons

While the software is great for the majority of payroll situations and the customer service is knowledgeable in most situations, if a more complicated situation arises with payroll, it may take a few calls to get the right person who will keep problem solving with you until the problem is completely resolved.

A User for Over 20 Years

Reviewed on 6/9/2022

I have been using it for a very long time and am familiar with almost everything it has to offer even if I don't use some features. On a weekly use for 2 companies, it makes doing payroll fast and simple when using time sheets. It has some unfriendly features if you deviate from doing payroll that way -- like doing separate bonus checks, corporate officer year end checks, or anything that's not set as a regularly weekly paycheck. Some of the wording is confusing when doing those checks.

Pros

It's relatively easy to use once you set it up and take the time to understand the tax lines to which expenses, income, payroll, etc should be assigned. Once you learn how to use it and custom your reports, it saves time and the data from years back can be accessed.

Cons

It gets too complicated in generating reports. If you only use the reports as QB configures them, you won't get the most accurate view of the business. And I do NOT like the password being required on my own device. I want to decide that for myself. It's a real pain to have to log into a device that only I use even if you can set it for 90 days. I don't want to do that at all.

Fast, prompt and knowledgeable assistance. As a new user to the online platform I am a bit of a chore to help, however I have received fantastic service including explanations so guide to me should the issue return. It is comforting that I can expect a prompt response when I reach out for help as I am uncomfortable with any facet of the company bookkeeping in limbo for any length of time.

Pros

Automatic features such as tax calculations and submit, ease of importing bank feeds.

Cons

Templates limited in customization. Possibly because we are a construction office and our invoicing is a bit particular. Also, I have customized and saved a report similar to the 'print check stub' feature in the desktop version, small learning curve there and wouldn't mind seeing that report option.

Cons

Good luck with their new Risk Assessment Department. I have been trying to do Direct Deposit for 3 months in my new company and they cannot get their act together. It is harder than getting a mortgage. My other companies are fine but now they keep asking more and more info to just run $2000 a week in payroll. All because "I am a new company and they front the direct desposit funds".

I really do not care. Any other payroll company can do this. They should state that they do not offer direct deposit for new companies.
