Mavenlink is a software as a service (SaaS) project-delivery system that automates business best practices for creative and professional service providers. With one platform to manage the entire customer lifecycle from proposal to invoicing, users can improve business outcomes and successfully manage and scale people, projects, and profits.

Single source of truth: Mavenlink centralizes project management, project accounting, and custom reporting into a solution known as Professional Services Automation (PSA). Mavenlink’s cloud application provides a single workspace for executives, project managers, team collaborators, and contract resources. This includes powerful features for collaboration, file sharing, time and expense tracking, resource scheduling, and more.

Move the levers that drive performance: Mavenlink helps organizations optimize utilization rates, improve margins, accelerate cash collection and accurately predict future work and revenue. The application’s optional enterprise-grade Business Intelligence (BI) layer, Mavenlink Insights, offers expert-built dashboards and custom reporting for project health and profitability. Mavenlink Insights enables organizations to build unlimited custom reports in only a few clicks; this includes the ability to look at key business metrics by specific drill-downs.

Create connections between business systems to unite teams and processes: Thanks to strategic integrations with leading CRM and accounting solutions (including Salesforce, Intacct, and QuickBooks), Mavenlink customers can build a unified platform for planning, delivering, and recognizing revenue related to services delivery across their entire business lifecycle.

Awesome platform that's only getting better

Overall, using Mavenlink has been great - it has made a very positive impact on day-to-day functions as a business. I would recommend it highly to agencies for its flexibility and extensive functionality to manage resources and projects.

A steep learning curve

Mavenlink is not a bad service. it does keep everything you need to manage a project in one place, as well as help you track hours spent on various tasks within projects and organize a timeline. It is somewhat difficult to use and difficult to learn how to use - I don't find it very user friendly or intuitive. I'm still getting over this learning curve, since I'm new to using the software, and will likely find that it becomes easier over time. At least I really hope it does.

A good fit for our unique needs

Although it took a while to get everything configured just right, once in place, Mavenlink has allowed our team to be more efficient, better project managers, and client communicators.

Josh R.

One of the weaker project management tools out there. I wouldn't recommend this product.

The ability to see my project list at a glance, although this product is plagued with poor support and ultra slow development.

Matthew C.

Overall good with a few weak areas.

We were able to provide better forecasting and manage budgets against timelines. All time entry is much better managed in a central location. We can also easily track which resources are available or not.

Overall, using Mavenlink has been great - it has made a very positive impact on day-to-day functions as a business. I would recommend it highly to agencies for its flexibility and extensive functionality to manage resources and projects.

Pros

The reporting functionality Mavenlink offers is extensive and has enabled us to get much better visibility to our project, program, portfolio and resourcing data.

Which in turn has allowed us to set/adjust our KPI/KRIs and better inform business decisions with the data we have available.

In using Mavenlink how it's meant to be used, not only have we improved our business practices but our PMO has gained valuable insight into important aspects of the business that were previously siloed.

The fact that Mavenlink actually continues to improve its platform based on user feedback is a massive plus, as new functionality becomes available to better utilize the platform.

Cons

There are some small (very small in most cases) problems we have with some functionality i.e. the naming/categorization of metrics in the reporting suite could be clearer, when approving/rejecting timesheets, adding a comment to a specific entry would be preferable, rather than the comment being published to all entries.

I'm still getting over this learning curve, since I'm new to using the software, and will likely find that it becomes easier over time. At least I really hope it does.

Pros

Mavenlink is a great way to keep track of everything you need for multiple projects across various areas. Budget burn is clear to see, it's easy enough to add and message people on a project. Easy enough to track time, develop timelines, break projects down into tasks, etc. Good for very type A people who like to extremely organize everything.

Cons

It creates a lot of work for project managers. A lot goes into designing a project and filling it out, which is very time consuming. There is also a steep learning curve, especially if you are adapting to Mavenlink after being used to different systems. The trainings were somewhat helpful, but long, boring and repetitive. While it does keep everything in one place, it is difficult to adapt to using it where you would have used email, Skype messenger, google docs, etc. especially if you're working with colleagues who are not so technologically savvy.

Although it took a while to get everything configured just right, once in place, Mavenlink has allowed our team to be more efficient, better project managers, and client communicators.

Pros

Our company has some unique business practices that makes most out-of-the-box platforms difficult to use. Mavenlink is customizable without being overly difficult to set up. It also has a powerful reporting engine that allows us to slice and dice our data with custom reporting.

Cons

Getting support on reporting needs will cost money, and the in-house support staff at Mavenlink has limited know-how (or allowance) to help with this. Client (non-paying) users are unable to see project budget and time burned.

The ability to see my project list at a glance, although this product is plagued with poor support and ultra slow development.

Pros

The UI is simple to use most of the time. It's easy to see your projects listed out, even though the organization tools are pretty weak.

Cons

The software is slow. Updates happen at a snails pace. Our team worked directly with the development team at Mavenlink and their process is just plain slow. The program is bogged down and sluggish. It lacks sub-tasks beyond 5 layers, the estimating feature is a joke and they only just recently implemented a basic WYSIWYG in the activity section. You also can't undo activity unless you go back to the feed. Talk to PMs who actually use this product!

Response from Mavenlink

Thank you for your insight and feedback regarding your experience. We have forwarded your feedback to our product team and will continue to strive to do better. Your CSM has reached out out to you to learn more and continue to advocate on your behalf, regarding these product enhancements and all your concerns. We look forward to continue to working closely with you regarding your experience. Have a nice day and happy holidays.

Mavenlink Main Features

Manage Multiple Projects

When it rains, it pours. Most business professionals are expected to juggle multiple projects simultaneously, without dropping the ball with regard to the important tasks and milestones that must be met to keep clients happy.

Create a new project to get started using Mavenlink, making sure to select whether you’re the provider or the customer in a given setup. You can use project templates to quickly populate a project’s tasks, or add tasks manually. Mavenlink gives you the option to add a due date for the project, and to invite key players within your organizations who are also responsible for working on the project. Only these colleagues will be able to see the details of the project that you have uploaded.

Create a new project

Collaborate with Teammates

Mavenlink centralizes and prioritizes conversations, activities, and tasks within a unified platform, which means business users can spend more time communicating with one another and less time struggling to stay organized.

Post a message in your Activity Stream to collect contributions from teammates who are working together with you on a project. Mavenlink gives you the option to view all your projects in a global feed or view projects individually in separate project feeds. In addition to posting written comments, you can also attach Google files or upload your own files within an Activity Stream.

Post comments in the Activity Stream

Prioritize Tasks

Tasks are an incredibly important part of collaborative work, which is why Mavenlink developed a series of task management features for its users. Drag-and-drop prioritization allows companies to re-order tasks based on the level of importance or in order of due dates. Meanwhile, time and budgets are also tracked and reported on the task level.

Click on the Task Tracker tab to view the tasks that have been set up for a specific project you’re working on. In addition to creating basic tasks with due dates and tags, you can create subtasks that add granularity to project tasks and deliverables. Mavenlink allows you to sync your tasks into a convenient location with Google Tasks, as well.

Prioritize tasks by level of importance

Use Gantt Charts

Gantt charts allow businesses to create dependencies between tasks. The visual timelines that users create by enabling Gantt charts help organizations get a better handle on where various projects stand in relation to one another. Gantt charts are especially useful for identifying resources, tasks, and dates at the beginning of a project.

View your Gantt charts to quickly assess the status and progress of any project you’re affiliated with. From the Gantt View, you can define how two tasks are related to one another, and you can assign dependencies. When a project timeline or scope changes, Mavenlink’s “Cascade Changes” feature automatically adjusts all dependent tasks to reflect the changes that have been made.
